Return & Refund Policy

This Return and Refund Policy sets out the conditions under which Beamcharge ("we", "our", "us"), trading as Beamcharge studio, will process refunds or cancellations for sessions, memberships, and other services offered at beamcharge.world and our Surry Hills studio.

We aim to be fair, transparent, and reasonable in all our dealings. If you have any concerns about a purchase or membership, we encourage you to contact us directly so we can work toward a resolution.

1. Drop-In Session Cancellations

If you have booked a drop-in session and need to cancel, the following conditions apply:

  • Cancellations made more than 4 hours before the session start time will receive a full session credit, redeemable for any future class within 90 days.
  • Cancellations made less than 4 hours before the session will not be eligible for a credit or refund, as the spot cannot reasonably be filled at short notice.
  • Refunds to the original payment method for drop-in sessions are not generally available. Credits are provided as the standard resolution.

2. Monthly Active Pass

Monthly Active Pass memberships operate on a calendar month basis. The following conditions apply:

  • You may cancel your Monthly Active Pass at any time by contacting us at least 5 business days before your next renewal date.
  • Cancellations received within 5 business days of a renewal will take effect at the end of the following month.
  • Refunds for the current month's membership fee are not available once the month has begun, unless exceptional circumstances apply (see Section 5).
  • If you have not attended any sessions in the current month and cancel within 3 business days of the renewal date, we will consider a pro-rata refund on a case-by-case basis.

3. Annual Membership

Annual Membership fees are paid upfront for a 12-month period. The following conditions apply:

  • Cancellations within 14 days of the initial purchase date, where no sessions have been attended, are eligible for a full refund.
  • After 14 days or following attendance at any session, refunds for the unused portion of the annual period will be assessed on a pro-rata basis, less an administrative processing fee of $35.
  • Annual memberships are non-transferable except in documented exceptional circumstances approved by studio management.
  • Requests to pause an Annual Membership (e.g., due to extended travel or significant personal circumstance) will be considered on application and may be granted at the studio's discretion.

4. Studio-Initiated Cancellations

In the event that Beamcharge cancels a session due to instructor unavailability, public holidays, or circumstances outside our control, affected members will receive a session credit or the option to attend an equivalent session at no additional cost. We will provide reasonable notice wherever possible.

5. Exceptional Circumstances

We understand that unexpected events occur. If you are unable to attend sessions due to a serious personal circumstance (such as extended illness, bereavement, or relocation), we will review your situation individually and aim to provide a fair outcome, which may include session credits, membership pauses, or partial refunds.

Requests under this section should be submitted in writing to our team at the contact details provided below and should include relevant supporting information where available.

6. How to Request a Refund or Credit

All refund requests will be acknowledged within 2 business days. Where a refund is approved, it will be processed to the original payment method within 5–7 business days, depending on your financial institution.

7. Australian Consumer Law

This policy operates in addition to, and does not limit, your rights under the Australian Consumer Law. If a service is not provided with due care and skill, or is not fit for its intended purpose as described, you may be entitled to a remedy under Australian Consumer Law regardless of the conditions above.
